Your work will support Resource Managers by improving operational efficiency and helping teams assign the right talent to projects at the right time. By ensuring data accuracy and consistency, you will contribute directly to the company’s ability to scale operations, innovate, and deliver projects effectively.
As a Data Quality and Resource Operations Specialist, you will play a key role in maintaining reliable data standards and improving operational workflows. Your responsibilities go beyond simple data maintenance—you will analyze patterns, identify potential issues early, and support the optimization of the entire resource management lifecycle. Your contributions will help leadership teams make informed decisions based on trustworthy data while enabling Resource Managers to work more efficiently.
Key Responsibilities :
Resource Utilization Monitoring
Track and maintain accurate data related to employee capacity and project allocation. Your goal is to ensure optimal utilization by minimizing unassigned staff time while also preventing excessive workloads.
Capacity Coordination
Work closely with Project Managers to understand current project demands and team availability. As projects approach completion, you will coordinate assignment extensions or mark resources as available for upcoming opportunities.
Cross-Team Collaboration
Partner with Resource Managers, Project Delivery Teams, and other stakeholders to address operational challenges and escalate issues when necessary.
Reporting and Compliance
Prepare regular status reports that highlight missing assignments, outdated opportunities, or inconsistencies in data. These reports will help leadership make decisions using reliable and updated information.
Operational Systems Awareness
Understand how different stages of project opportunities lead to resource assignments, ensuring that data transitions correctly across systems and workflows.
Assignment Monitoring
Identify unusual scenarios such as inactive project assignments or outdated billing records, and take steps to correct them to maintain system accuracy.
Data Management and System Integrity :
Act as a key owner of data accuracy within the organization’s project and resource management tools. Responsibilities include:
Maintaining high-volume data entries and administrative updates
Reviewing and reconciling assignment records
Identifying inactive or outdated opportunities and updating them accordingly
Standardizing naming conventions and data entry procedures
Conducting periodic audits to ensure that system records accurately reflect real operational activities
Process Improvement and Change Support :
Process Optimization
Evaluate existing workflows, identify inefficiencies, and recommend scalable improvements to operational processes.
Process Adoption Support
Serve as a point of contact during the implementation of new operational workflows, helping teams transition smoothly to improved practices.
Continuous Improvement Assess process performance regularly and recommend enhancements that simplify workflows and improve data quality.
Documentation and Training
Develop easy-to-follow guides, quick reference materials, or short training resources that help teams follow resource management and data governance practices.
Operational Efficiency
Identify workflow challenges affecting Resource Managers and propose automation or process improvements that help reduce staffing turnaround time.
Skills and Experience :
Approximately 12–24 months of relevant professional experience in operations, data management, or resource coordination roles
Strong ability to communicate with stakeholders across different organizational levels and gather information efficiently
Capability to collaborate across teams and maintain productive working relationships
Ability to manage responsibilities proactively while maintaining accountability for data accuracy
Excellent analytical and problem-solving skills with a focus on maintaining high-quality data standards
A proactive mindset with attention to detail and commitment to operational excellence
